Event Coordinator

Overview:
The Event Coordinator will work closely with the Department of Bioregion (DOB), the Cascadia Department of Bioregion (CDOB), and Regenerate Cascadia (RC) to organize and execute events that support bioregional education, community engagement, and regeneration initiatives. This role is pivotal in fostering connections among stakeholders, promoting the mission of these organizations, and creating spaces for collaboration, learning, and action. The Event Coordinator will also oversee website management and coordinate with volunteers to ensure smooth execution and alignment of all activities.

The ideal candidate is highly organized, passionate about bioregionalism, and skilled in managing both virtual and in-person events, as well as digital platforms and volunteer networks. They will serve as the logistical and operational backbone for events ranging from community workshops, conferences and activation tours.


Hours / Compensation:

  • 10 hours a week.
  • $30 / HR
  • 1099 Contractor
  • Hiring until filled.

Key Responsibilities:

  • Event Planning and Management:
    • Work with program and nonprofit leadership to develop, coordinate, and execute events in alignment with the goals of DOB, CDOB, and RC.
    • Manage event logistics and budgets, including venue selection, permits, equipment rentals, and vendor negotiations.
    • Coordinate schedules, programming, and event timelines to ensure seamless execution.
  • Community Engagement:
    • Collaborate with local communities, partners, and volunteers to create inclusive, meaningful events.
    • Ensure events reflect the values of bioregionalism, such as sustainability, equity, and cultural relevance.
  • Volunteer Coordination:
    • Recruit, train, and manage volunteers to support events and organizational initiatives.
    • Develop volunteer schedules around events and ensure clear communication of roles and responsibilities.
  • Website Management:
    • Oversee the organization’s website to ensure it is up-to-date with event information, registration details, and post-event content.
    • Work with the communications team to maintain consistency and alignment with branding and messaging.
  • Promotion and Outreach:
    • Work with the communications team to create promotional materials and strategies, including social media campaigns, email marketing, and press releases.
    • Act as the primary contact for event participants, answering inquiries and managing registrations.
  • On-Site and Virtual Event Coordination:
    • Oversee event setup, execution, and teardown, ensuring smooth operation.
    • Manage virtual event platforms for online workshops, webinars, and conferences.
  • Budget and Financial Oversight:
    • Track event budgets, ensuring efficient use of resources and adherence to financial guidelines.
    • Coordinate sponsorships, ticket sales, and other revenue streams to support event funding.
  • Post-Event Evaluation:
    • Collect feedback from attendees and stakeholders to assess the success of events.
    • Prepare reports summarizing outcomes, lessons learned, and recommendations for future events.

Qualifications:

  • Proven experience in event planning, coordination, or a related field.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Familiarity with or interest in bioregionalism, regenerative practices, and community organizing.
  • Experience in managing websites, including updates and content coordination. Specifically Squarespace and WordPress.
  • Ability to manage budgets and work within financial constraints.
  • Proficiency in using Zoom, Microsoft Office, and Google Workspace. Proficiency in Adobe Suite is excellent.
  • Experience working with volunteers, including recruitment, training, and coordination.
  • Ability to work collaboratively with diverse teams and communities.
  • Willingness to travel and work flexible hours as needed.

Preferred Skills:

  • Experience working with nonprofits or mission-driven organizations.
  • Knowledge of sustainability principles and eco-friendly event planning practices.
  • Familiarity with bioregions, especially Cascadia and related movements.

Brandon Letsinger is Co-Administrator of Regenerate Cascadia along with Clare Attwell and a longtime bioregional organizer working across the Cascadia bioregion. He is drawn to the intersection of community building, place-based learning, and regenerative finance, and is committed to the idea that healthy landscapes begin with healthy relationships. He believes Cascadia is not just a place to live, but a home worth tending together.
